Workshops in SA (Pty) Ltd Cancellation Policy

​

​Purpose:

• Our cancellation policy aims to ensure the sustainability of our art retreats and uphold the quality of services provided.

 

Before Reservation:

• We encourage all guests to review our cancellation policy before making a reservation.

Non-refundable Booking:

• All bookings are nonrefundable once payment has been made and considered final upon completion.

 

Retreat Cancellation:

• The deposit is refundable (minus bank fees and 10% admin charge) for up to 30 days. After 30 days, The deposit is non-refundable.

​       There is a no-refund policy within three months of the workshop, and the retreat must be paid in full.

 

Guaranteed Retreat Cancellation and Refunds:

• Participants will be promptly notified if we cancel a guaranteed retreat in SA due to force majeure events or circumstances beyond our control.

Refund Procedure:

• While every effort will be made to inform participants as soon as possible, please note that Workshops in SA will not be held accountable for chargebacks. It is advisable to ensure your travel insurance comprehensively covers such circumstances.

​Reimbursement Considerations:

• Workshops in SA commit to prompt notification regarding cancellations; however, you must recognize that  Travel Insurance Coverage is essential.

• We strongly recommend ensuring that your travel insurance comprehensively covers unforeseen situations, including retreat cancellations, ensuring complete financial protection.

 

Cancellation Insurance:

• Participants must acquire travel, medical, and cancellation insurance covering potential losses due to unforeseen circumstances leading to cancellation or alterations in travel arrangements.

• Workshops in SA are not affiliated with any specific insurance providers. It is the participant's responsibility to secure suitable insurance coverage.

• We offer assistance by providing the necessary documentation to support refund claims with the insurance provider.

 

Booking Modifications:

• Our non-refundable policy extends to any modifications or changes made to a booking once confirmed and payment is processed.

• No refunds or credits will be issued for any adjustments post-booking confirmation.

 

Transferability:

• After evaluation and approval, we may allow clients to transfer their bookings to suitable replacements.

• Transfer requests are subject to our discretion and necessitate shared artistic interests and familiarity with the instructor's work and style.

• To initiate a transfer, provide the replacement details for our team's evaluation and decision-making.

 

Recommendation:

• Thoroughly review our cancellation policy and consider purchasing appropriate cancellation insurance to safeguard your investment.

• You acknowledge and accept our nonrefundable cancellation policy when you proceed with the booking.

 

Food & Drink:

Food and drinks are mentioned per individual itinerary and might change from retreat to retreat.

 

Travel Insurance:

• When attending the workshop, you must have comprehensive travel insurance, including trip cancellation and liability coverage.

Release of Liability and Responsibility:

• Workshops in SA shall not be held responsible for any damage to or loss of any property, whether belonging to the client or any of the guests, nor shall Workshops in SA be responsible for any personal injury which any guests may sustain, whether such damage or personal injury be caused by, or arise from the negligence of any one of the Reserves or Lodges or its employees or otherwise.

• The client hereby indemnifies Workshops in SA and all its agents of the client regarding such personal injury, loss or damage.

 

​No Nocence Policy:

At our tour group, we value safety, respect, and responsible behaviour. We expect all members of the group to adhere to the following policy:

1. Safety First: We take safety very seriously. All group members must follow the safety guidelines provided by the tour guide. Failure to follow safety guidelines will result in immediate dismissal from the tour group.

2. Respect for Others: We expect all tour group members to treat each other respectfully and kindly. Any form of discrimination or harassment based on race, gender, religion, sexual orientation, or any other personal characteristic will not be tolerated.

3. Responsible Behaviour: We ask all tour group members to act responsibly and considerately. This includes avoiding any behaviour that may harm the environment or local communities. Littering, vandalism, or any other disruptive behaviour will not be tolerated.

4. Follow the Tour Guide’s Instructions: The tour guide leads the group safely and efficiently. All tour group members are required to follow the instructions provided by the tour guide.

5. Punctuality: We expect all tour group members to arrive on time for scheduled activities. Latecomers may delay the group and will not be tolerated.

6. No Alcohol or Drugs: The consumption of alcohol or drugs is strictly prohibited during any tour activities. Any member of the tour group found under the influence of alcohol or drugs will be immediately dismissed from the tour group.

Failure to comply with the above policies may result in immediate dismissal from the tour group without a refund.
